Dear Mr. Iqbal,

On 2 November 2015 we ordered 460 blank DVDs under our order number T-20 which were delivered yesterday.

After opening the packets, 67 of them were found badly scratched. I did not realize this when I accepted the packages because they looked perfect from outside. Now, this has caused embarrassment for us in front of our clients. I assume that this damage was caused due to careless handling during packing.

I am enclosing a list of the damaged goods and will be glad if you will replace them as soon as possible.

Regards,

Dear Mr. Sarkar,

Thank you so much for your letter of 20 November 2015 where you had mentioned about 67 damaged DVDs. I deeply regret this unfortunate incident.

The problem might have occurred due to the excessive rush in packing the goods. We have been in shortage of stuff during the last one month and our existing employees have to be busy day and night to handle the pressure of too many orders.  In this situation, this problem probably happened by unintentional carelessness.

I assure you that this will not happen in future. We will replace the damaged DVDs with fresh new ones. Once again, I am sorry.

Regards,

Memo-Sample

MEMORANDUM

To               :         All students

From           :         MD. IFTEKHARUL ISLAM

Date            :         8 JUNE 2015

Subject        :         Memo Format

In response to students who have asked for a simple example of a correctly formatted memorandum, I am posting this document. Below you will find the basic rules concerning memo format.

Parts of the Memorandum

There are three required elements of the memo:

  • Title--The title typically consists of the company name and the word memorandum.
  • Heading Block--The heading block should be double spaced. Sign your initials by your name rather than including a signature at the end of the memo as you would in a letter. The subject line should be capitalized as if it where a title and should succinctly describe the topic of the message.
  • Body of the Memo Message--The body of the message should be single spaced with double spacing between paragraphs. In the “block” format, which is most common, every line begins on the left-hand margin, and paragraphs are not indented.

Organization of the Body

The body of the message should be organized in three parts:  (1) a statement of purpose, (2) the details, and (3) a positive, friendly closing or next-step information. These three parts are usually presented in two or three separate paragraphs, though the details themselves may require several paragraphs in a longer, more complex memorandum.

The closing paragraph should be brief and to the point. Draw your conclusions, make recommendations, or define the next step; tell your readers what you want them to do. Whenever possible, close your message in a positive and friendly manner.
